Castles Dossier · Private Owners

What documents do I need to prepare to sell my castle?

Are you looking to sell your castle privately? Even before the first viewings, gathering the documents relating to the property allows you to better understand what you are selling, to prepare the advertisement and to facilitate subsequent exchanges with buyers, the notary and the various professionals likely to be involved in the transaction.

Prepare for the sale

A castle may require a much more extensive file than a simple real estate advertisement

A property of character may include a main building, several outbuildings, different plots of land, old technical installations, work carried out at several times and sometimes heritage protection.

The owner therefore has an interest in starting by gathering everything he already possesses: deeds, plans, cadastral references, invoices for work, studies, previous diagnoses, documents relating to equipment and historical information when it is documented.

Not all of these elements will necessarily need to be provided to every buyer at the first contact. However, they allow for the gradual creation of a reliable and organized file.

Preparing documents early allows us to distinguish what we know about the property from what remains to be verified.
01 · Identify what is being sold

Title deed, plots and composition of the estate

Before putting a castle up for sale, it is essential to properly identify the property in question. For large estates, the property visible on the ground may correspond to several plots of land and several buildings.

PROPERTY

Deed or title of ownership

The document held by the owner provides a starting point for finding the property description and information relating to its acquisition.

CADASTRE

Plot references

Group together the cadastral references of the lands comprising the estate in order to facilitate the identification of its perimeter.

BUILDINGS

Inventory of outbuildings

Castle, gatehouse, outbuildings, stables, barns, pavilions or other buildings deserve to be clearly listed.

The cadastral plan does not replace a boundary survey. A cadastral representation is useful for identifying plots, but it should not be presented as a precise legal delimitation of boundaries when a boundary survey is required.
02 · Understanding the building

Plans and surfaces: document rather than guess

In an old castle, the available plans may be old, incomplete, or no longer exactly reflect the current layout. Nevertheless, they remain very useful for understanding the building's organization.

Existing plans

Architectural plans, surveys, old work files or technical documents can help to reconstruct the layout of the castle.

Surfaces

Clearly state the nature of the areas being advertised and avoid presenting an old approximation as a certain measurement.

Addictions

When several buildings exist, a separate survey of their use and surface area facilitates understanding of the domain.

Transformations

Although the castle has undergone extensions or redistributions, the available documents can help to understand the different building campaigns.

03 · Recent history

Keep records of work and equipment

For a buyer, knowing that a roof, heating system, or electrical network has been renovated is helpful. Being able to specify when and how the work was carried out is even more so.

Work invoices:
Keep available invoices relating to major interventions.
Company documents
: Accepted quotes, reports or descriptions can complete the history.
Administrative authorizations:
Keep all authorizations and declarations related to the work, if they exist.
Post-transformation plans:
They can facilitate understanding of the changes made.
Heating:
Equipment references, maintenance and recent interventions may be useful.
Roofs and facades:
Documents relating to major restorations deserve to be grouped together.
Electricity and plumbing:
Keep all available documentation relating to significant renovations.
Heritage works:
For a protected building, work files can be of particular importance.
An invoice is not just proof of expenditure. It can also help to date an intervention, identify the company that carried it out and explain the recent history of the building.
04 · Technical file

What assessments are necessary to sell a castle?

The sale of a building may require the preparation of a technical diagnostic report. Its composition is not the same for all properties: it depends in particular on the nature of the building, its installations, its date of construction, its geographical location and the rules applicable at the time of the sale.

BUILDING

Building-related diagnostics

Depending on the property, documents relating in particular to lead, asbestos or termites may be applicable.

FACILITIES

Gas and electricity

Reports concerning certain indoor installations may be required when the corresponding regulatory conditions are met.

ENERGY & RISKS

Energy Performance Certificate (EPC) and other information

The energy performance diagnosis, the statement of risks and other documents may be included in the file depending on the situation of the property.

Key takeaway: Do not use an old list found on the internet as your final checklist.

Regulations are evolving and some documents only concern goods that meet specific conditions.

Before marketing or from the start of your sales project, contact a qualified diagnostician and your notary to identify the documents actually applicable to your castle.

Also check the validity period of the diagnostics already in your possession: an old document is not necessarily still usable at the time of the sale.

05 · Equipment of the estate

Sanitation, water, heating: preparing the technical information

Castles located in rural areas may have equipment or facilities whose operation will quickly interest the buyer.

Sanitation

Identify the existing system and gather available documents, especially when it involves non-collective sanitation.

Water supply

Specify the known information on the domain's power supply and distinguish domestic networks from any wells, springs or other installations.

Heating

Energy type, boilers, heat pumps, chimneys or other equipment can be documented prior to visits.

Technical dependencies

Technical rooms, boiler rooms, swimming pool facilities or park equipment can also be inventoried.

06 · Heritage

For a protected castle, gather the documents relating to its protection

When a castle is listed or registered as a historical monument, the protection must be precisely defined. It may concern the entire building or only certain parts.

Historic Monument: Document the exact status rather than simply using the term "listed castle".

Gather available references relating to classification or registration, as well as documents enabling understanding of the scope of protection.

Also keep records relating to restorations, authorizations and interventions carried out on protected parts.

This information will then allow the notary and relevant professionals to examine the property's financial situation in detail.

07 · Transaction

Selling between individuals does not mean carrying out the sales process alone

The owner can choose to search directly for a buyer, publish their advertisement and organize viewings without entrusting a sales mandate to a real estate agency.

This does not eliminate the legal and technical formalities associated with the transaction. The notary will be involved in preparing and securing the deeds of sale and will specify the necessary documents based on the exact situation of the property.

UPSTREAM

Contact us early

For a complex case, contacting your notary even before finding a buyer can help identify the documents to look for.

SITUATION

Report any special features

Heritage protection, outbuildings, multiple plots, known easements or other special situations deserve to be noted.

CASE

Avoid late searches

The earlier the documents are organized, the easier it is to respond to information requests during the sales process.

Selling without a real estate agent does not mean selling without a notary, without diagnostics or legal checks.
Practical organization

Do not necessarily send the entire file on the first contact

A castle may contain numerous documents, some of which contain private, technical, or sensitive information. The owner can organize their release gradually.

ANNOUNCEMENT

Essential information

The initial presentation should allow people to understand the property without publishing your entire archive.

EXCHANGES

Additional information

Additional documents may be provided when the buyer's project becomes more specific.

TRANSACTION

Legal file

The documents required for the sale will then be gathered with the notary according to the situation of the property.

Prepare the publication

Your file also allows you to write a more precise advertisement

Surface area, plots, outbuildings, works and heritage features are all pieces of information that allow for the writing of a more reliable advertisement.

Preparing documents before publication helps avoid discovering, after several weeks of distribution, that important information was inaccurate or incomplete.
